The Kobocollect EMIS portal is platform created by the Ghana Education Service to enroll all schools in Ghana. The EMS Kobocollect records schools’ credentials such as; geo-metrics, properties/facilities and the staff details as well.
In this article we are going to look at how to enroll your school onto the Kobocollect EMS platform. Whether you are a teacher or a headmaster with little or no knowledge in IT, these steps will help you.
The Ghana Education Service on the 23rd of June organized a workshop to train schools’ IT staff on how to enroll their schools onto the EMS Kobocollect platform. This training was organized for all schools across the country.
The Kobocollect EMS platform will do away with the yearly manual school census conducted by schools. This process requires that papers be sent to the district/municipal education offices for onwards submission to the national level.
The following outline the steps one has to go through;
First of all one has to download the Kobocollect EMS app from Google or through any browser. Just type ‘Kobocollect’ in the search button to download the app. Find image of the app below;
Two, tap on the app and scan the QR Code provided for you at the training grounds. This allows you to access the Kobocollect EMIS server.
An interface will be opened for you containing list of options, click on get form to access the Kobocollect form to begin with your registration. Note that accessing the forms takes a longer time so don’t be frustrated by the turn out of events.
Once the Kobocollect form is retrieved, the new interface opened has to items. These are EMIS and Identification of Institution. Select the first option to begin your registration.
Fill in the questionnaire by providing the necessary details required of you.
When generating your school’s location, make sure you are not five meters away from the compound and it should be done outside the classroom.
Click on the second button on the map page and click on save to record geo – location of your school
You follow through the processes by clicking on the next button on the interface of your Kobocollect app.
After filling the EMIS questionnaire, make sure the work is saved and then returned to fill the identification of school. Follow through by answering the questionnaire on the Kobocollect app.
When done with everything, make sure you check the button before you submit it.
Expect this after your registration on the Kobocollect app
After registration, an SMS will be sent to you with a new EMIS number. Note that this new EMIS code is what the school will be using for the entire lifespan of the school.
The new EMIS SMS message received will have the link you will used to enroll your staff and pupils as well.
This new code received is what you will use to enroll all your staff members. After a successful enrolment of each staff, he or she will receive a message confirmation he/she has successfully being enrolled.
Note, in case your school has a part –time teacher, do not register him or her. The teacher may have been registered by his/her school. Take the credentials of only the staff serving in the school.
